Our Commitment to Your Personal Privacy 

The Canmore Economic Development Authority (CEDA), in partnership with the Town of Canmore, is the coordinating body for economic development in this community.  Our job is to support existing business, attract new business for the purpose of creating jobs and employment to foster and improve the economic health of the community.

 As part of this, we support the collection and use of business information through the Canmore Business Registry and other contacts and partners necessary for effective operations.  Our support is based on the goal of sharing public business information[1], for purposes of encouraging business-to-business relationships and supplying relevant information necessary for informed business planning and decision making.  It will also be necessary to establish strong communications links with partners both in the public and private sector in order to program and respond effectively to your needs, ideas and assistance programs.

Fundamental to the way we conduct our operations, CEDA recognizes the importance of protecting your privacy and the confidentiality of your personal information -- over the Internet, on the telephone, or through our offices.  We operate on the basis of a Privacy Policy that guides that handling of the personal information we collect. We have created this policy in order to demonstrate our commitment to protecting the privacy of CEDA partners, Canmore business registry members, and potential web site visitors. This policy is consistent with the Canadian Standards Association Model Code for the Protection of Personal Information (herein “CSA Model Code”) and applicable privacy legislation. CEDA reserves the right to change this policy and it may be updated periodically. These changes may affect our use of your personal information. Please check for changes regularly.

 The following is a brief summary of our privacy practices.

Privacy Statement

This policy deals only with personal information handled by CEDA. Personal information identifies a specific individual but excludes business contact information[2]. The following explains how we handle your personal information.

Purpose of Personal Information

We may collect or store personal information for the purposes of:

  • Identifying and analyzing trends, issues, gaps, and opportunities for products and services within our community – For example, identifying the number of new businesses starting in the community.
  • Communicating CEDA services and activities, and key economic information.  It will be important to establish strong links with the public and private sector to engage in activities of value to you and this community;  for example newsletters and activity alerts.
  • Gaining your input and feedback into our programming to ensure continued improvement; for example, a process to gain input into the development of our annual and long term business plans.
  • Registering for CEDA events; for example the Canmore Economic Outlook or business and development training programs we might consider in the future.
  • Publishing an annual directory of businesses and services available in this area, to encourage internal business to business and outside use of these services.  We would do this in coordination and accordance with the Canmore Business Registry and all legislation, documentation, and intent related to the Canmore Business Registry.
  • Processing and administering the above, or other purposes, as necessary.
 

 

On-Line Information Collection

CEDA operates an interactive website, www.canmorebusiness.com.  In general, you can visit CEDA's Web Site without revealing any personal information about yourself. When you visit this Web Site, CEDA web server automatically collects a limited amount non-identifying information about your online visit for statistical purposes regarding how our visitors interact with us online. These statistics contain no personal information ("personal information" as defined by the CSA Model Code) and are used only by CEDA staff. The information collected from your visit is as follows:

  • the Internet domain and Internet Protocol (IP) address from which you access this Web Site;
  • the type of browser and operating system used to access CEDA's Web Site;
  • the date and time you access CEDA's Web Site;
  • the pages you visit on CEDA's Web Site; and
  • the address of another Web site link, if any, that brought you to CEDA's Web Site.

CEDA collects and uses this information in an aggregate manner to help make our Web Site more useful and to help us better understand how people are using this Web Site.

We will collect further information, only for the uses stated at that time, and with your permissions.  All further information will be subject to our privacy policy as outlined.  We will not use personal information for any purpose other than that identified at or before the time of collection.

Consent

CEDA seeks consent for all personal information we collect, use and / or disclose prior to, or at the time of, collection. If you have voluntarily provided information, you have consented to the collection, use and / or limited disclosure of your personally identifiable information as described in this privacy policy. As required by law, we will not use your personal information for any purpose other than that for which you have consented. Should we require personal information for a new purpose, we will contact you to seek consent for that new use.

 
Limits for Collecting, Using, Disclosing and Keeping Personal Information

We do not collect, use or disclose personal information of individuals except when you give consent and provide the information on a voluntary basis. There may be occasions where more specific personal information is necessary for us to proceed with a request for information, or provide you with a product or service. In such cases,  we will provide you with a description on the information we need. In all cases, CEDA limits the amount and type of information collected to only that which is required to provide you with the requested information, product, or service. We collect only information that is voluntarily provided by you and undertake that such information will be kept strictly confidential.

We retain personal information only as long as is necessary to provide you with the requested product, service or information and then delete or destroy this information as appropriate to do so. For example, personal information that is voluntarily provided for registration at CEDA events, will be used only for this one particular registration, and will then be effectively deleted or destroyed as required.

In some cases, legal reporting and retention requirements require us to retain information for a specific amount of time. In general, under these limited circumstances, then we keep privacy protected information for a period of approximately 2 years.

CEDA may transfer information to service providers where information processing is outsourced in the course of certain administrative procedures or services. Where personal information is transferred to a service provider for processing, we require that provider to respect this Privacy Policy and we restrict them from using or disclosing personal information transferred to them for any purpose other than the provision of services to us.

Any personal information that we keep is kept in such a manner as to ensure its security and confidentiality at all times.

Safeguarding Personal Information

We respect the privacy of business registry members, CEDA partners, website visitors and internet users, and will protect that privacy as vigorously as possible. We store personal information in electronic and physical files that are secure. Our security measures include:

  • Password Protected Employee Files
  • Virus Protected Software
  • Locked file storage room

Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot ensure or warrant the security of any information you transmit to us or receive from us electronically. This is especially true for information you transmit to us via e-mail. We have no way of protecting that information until it reaches us. Once we receive your transmission, we make our best efforts to ensure its security on our servers.

 

 

Accuracy of and Access to Personal Information Collected

We make every effort to keep personal information as accurate, complete, current and relevant as necessary for the identified purposes. We do not routinely update personal information. Also on written request you may view or edit your personal information as collected and currently stored by CEDA.  CEDA will inform you of what personal information we have, what it is being used for and, wherever possible, to whom it has been disclosed. There may be exceptional circumstances as provided by law under which CEDA may not be able to give an individual access to the personal information about her or him held by CEDA (see PIPA Section 24) In this case CEDA will explain the reason for this lack of access. Any requests should be directed to our Privacy Officer. In your letter please specify the following information: your name, complete contact information, business or organizational affiliation, business or organizational contact information and the nature of your request, including whether you wish to edit or simply view the information, or inquire as to its use and/or disclosure. We will reply to your request within sixty days after receipt of the request, or if we are not able to respond within this time period, we will send you a notice of extension. If we are not able to disclose all the personal information we hold on you, we will give you a reason for our inability to do so, unless prohibited by law.

[1] The CEDA Privacy Code does not limit the collection, use or disclosure by CEDA of information that is publicly available. This includes: (a) a customer's name, address, telephone number, and website/email address, when listed in a directory; (b) other information about the customer that is publicly available and is specified by regulation pursuant to the "Personal Information Protection and Electronic Documents Act".
